How to import cases
The Import cases function allows you to upload multiple cases at once using a spreadsheet.
1. Download a template
To get started, download a template from the import screen. This folder contains the correct structure and formatting required for a successful import.
You will also receive a file with detailed instructions (instructions.txt
), an example file (example.csv
) and enums files to use when filling out the spreadsheet (template.csv
).
2. Prepare your file
Fill in the case details using the template (template.csv
). Each row should represent a single case. Please note:

Follow the instructions and fill in only the details in accordance with the enums files.

Messages, Comments, and Activity logs are not included in the import.
- You can import cases from forms, live hotline and surveys. The automated hotline channel can't be used for importing.
- Case IDs are generated by the system and can't be imported.
3. Upload the file
Once your file is ready, upload it by selecting the .csv
or .xls
file from your device. Make sure you’re uploading only one file at a time.
4. Preview & Confirm
After uploading, a preview of the data will be shown. This allows you to review all entries before finalizing the import. You can check for errors and make sure the data looks correct. You must confirm the preview before the system starts importing by clicking the Next button.
5. Import progress
Once confirmed, the import process will begin. A loading indicator will show the progress so you know the system is working on your request.
After the import is complete, a confirmation message is displayed and you can see the imported cases immediately in the administration in the case overview.
